What this looks like in practice
- Keep the client journey organised. Handle routine enquiries through approved email, phone and WhatsApp channels. Follow up on intake information, prepare proposals and agreements from approved terms, and coordinate acceptance, onboarding, renewals, feedback and offboarding.
- Keep CA’s billing and payment administration accurate. Maintain billing dates, prepare and issue invoices under agreed controls, track outstanding balances and payment commitments, follow up professionally, and assemble complete payment requests for approval.
- Keep client work and follow-up visible. Maintain deadlines, action owners and administrative records; obtain updates and flag missing inputs or delays to the delivery lead. Coordinate agreed communications about clients’ plans and changes, capture responses, and follow through on actions assigned to the responsible professional.
- Help the Managing Principal stay prepared and connected. Coordinate meetings, supporting information and delegated actions. Obtain client context from delivery leads and arrange senior client relationship conversations. Handle specifically forwarded, copied or assigned correspondence, and coordinate authorised travel, speaking and professional commitments.
- Keep practice administration running. Coordinate approved staff onboarding and offboarding, access requests, equipment records, supplier and subscription records, and office logistics. Support HR with interview arrangements, authorised document collection and training administration.
- Make systems and processes easier to use. Keep records, templates and procedures current. Document repeatable workflows, support an authorised backup, identify recurring problems and help test approved improvements or simple automations. Use approved digital and AI tools, check outputs, and protect confidential information.
- Take approved marketing through to publication. Organise source material, prepare initial content adaptations and production briefs, coordinate contributors and approvals, and publish agreed website, social, email and WhatsApp material. Capture enquiries and basic results, and coordinate permissions for client stories or testimonials.
- Follow through on business-development opportunities. Research selected organisations, contacts, and events; maintain opportunity and relationship records; arrange approved outreach, meetings, and events; and follow up on introductions, proposals, and agreed commitments.
- You will work from an agreed set of priorities and follow each matter through to completion or a clear handover. Technical delivery and professional decisions remain with the designated delivery lead; commercial, payment and personnel decisions follow the firm’s approval arrangements.
Requirements
- Around 3-5 years of relevant, hands-on experience in client services, practice or office coordination, executive support, customer operations, or project or operations coordination. Strong candidates with a different length of experience are welcome where their work demonstrates the required standard.
- A degree or HND in any discipline is welcome. Candidates with equivalent relevant experience and demonstrable capability will also be considered.
- Strong practical digital skills. You should be able to use spreadsheets, documents, shared calendars, forms and task or client-record systems confidently, learn unfamiliar tools and explain the functions you have used and how you checked your work.
- Evidence of independently managing recurring work, competing deadlines and follow-up involving other people, without repeated reminders.
- Clear, professional written and verbal communication with clients, colleagues and senior stakeholders.
- Accuracy with names, dates, figures, invoices and business documents, including checking work against approved source information.
- Sound judgment, discretion and respect for approval boundaries, with the ability to raise a problem clearly and propose a practical next step.
- An interest in improving how work gets done and contributing across the full role. Experience with professional services, Zoho, content publishing, sourced research, events, or responsible AI and automation use would be useful.
